How to Use Dropdown Columns in Table Questions

Table questions in custom workflows now support dropdown columns. Instead of requiring free-text entry for every cell, you can define a fixed list of options for any column — making workflows faster to complete and ensuring consistent, accurate data.


Who can use this?

  • Company Admins and Site Admins can configure dropdown columns when building or editing a custom workflow.
  • All users who perform workflows benefit from the faster, tap-to-select experience on mobile.

Setting up a dropdown column (Workflow Builder)

  1. Open the Workflows tab and create or edit a custom workflow.
  2. Add or select a Table question on the canvas.
  3. Enter a question label (e.g., "Product delivery table check").
  4. For each column, choose an Answer type:
    - Text — free-text input (same as before)
    - Dropdown
  5. When a dropdown is selected, click the expand arrow to open the options editor:
    - Type an option and press Add an option to add it
    - Add up to 25 options per column
    - Click the delete icon to remove an option (at least 1 option must remain)
    - Option labels must be unique within the same column
  6. You can mix Text and Dropdown columns in the same table.
  7. Save or publish the workflow.

Tip: Changing a column from Dropdown back to Text will remove all options. A confirmation prompt will appear before this happens.


Completing a table question with dropdown columns

On mobile

  1. Tap the table question in the workflow.
  2. For Text columns: type your answer as normal.
  3. For Dropdown columns: tap the field to open a list of options, then select one.

On web

  1. For Text columns: type your answer as normal.
  2. For Dropdown columns: click the dropdown and select an option from the list.

Frequently asked questions

How many options can I add per dropdown column?
Up to 25 options per column.

Can I have duplicate options in the same column?
No — options must be unique within a column (case-insensitive). You'll see a validation error if you try to add a duplicate.

Can I mix Text and Dropdown columns in the same table?
Yes — each column has its own answer type, so you can configure them independently.

Will dropdown options appear in reports?
Yes — the selected value appears in workflow reports and exports just like a text entry would.
