A quick guide to creating, scheduling and understanding workflows in Telsen.
Workflows help you standardise routine tasks, audits and food-safety checks across your sites.
Before you begin, assign a Workflow Manager - someone responsible for creating and maintaining your workflows.
1. Creating a Custom Workflow
Desktop: Workflows → Manage Workflows → Create Workflow
Add the essentials:
Name - clear and descriptive
Description - optional guidance for your team
Sections & Questions - choose from:
Text Field
Yes/No
Scored (ideal for audits)
Table
Attachment (photos/files)
Custom workflows are ideal for:
Daily operational checks
Cleaning and safety routines
Maintenance tasks
Audits and scored assessments
2. Scheduling Your Workflow
Choose when and how the workflow appears:
One-off – a specific date/time
Repeat – daily, weekly, monthly
Open Window – must be completed between two dates
Ad Hoc – triggered manually as needed
Assign to:
Sites – where the workflow should appear
Users – who should complete it
Tip: Use All Users to automatically include new staff in future.
3. HACCP Workflows
HACCP workflows are designed specifically for food-safety compliance.
Key features:
No fixed scheduling - checks appear when required
Completed via mobile app
Supports probe-based or manual temperature logging
Use HACCP for:
Cooking / Cooling / Reheating checks
Delivery checks
High-risk food handling
Corrective actions

5. Final Step
When ready:
Click Publish → your workflow goes live
Or Save as Draft → return and finish later
Your workflows will now appear for the correct sites and users based on your schedule.
