Quickstart guide to getting set up on Telsen

This quick-start guide walks you through the essential steps to set up your organisation, configure your workflows, and get your team ready to use the platform. Each step includes a high-level overview, with detailed Helpdesk guides available for further support.

1. Access Your Account

• Look out for your Telsen welcome email, which includes instructions for setting up your desktop login and mobile PIN.

• Download the Telsen mobile app to begin completing workflows on the go.

2. Configure Your Organisation Settings (Desktop)

Once logged in, head to Settings → Organisation to complete your initial setup:

Sites

Create and configure all locations where workflows and sensors will be used.

Users

Add your team members and assign the correct roles (Company Admin, Site Admin, Site Viewer).

Products & Suppliers (HACCP only)

If you’re using HACCP workflows, add your food suppliers and product categories to ensure accurate logging.

3. Set Up HACCP Templates (If Applicable)

Configure your HACCP workflows to match your operational processes

4. Add Appliances (If Manually Logging Temperatures)

If your team manually records temperatures, add your fridges, freezers and dishwashers under Appliances.
This ensures logs are linked to the correct equipment in your reports.

5. Install & Set Up Sensors (If Applicable)

If your subscription includes automated temperature monitoring:

• Install your gateway and sensors

• Confirm they are online in Devices

6. Configure Alerts

Set up your sensors so that alerts are sent to the correct people, at the correct sites. 

We recommend setting up your alert rules for:

• Critical alerts

• High-temperature alerts (secondary check for managers only to be alerted)

• Offline alerts

Assign the relevant sensors and users at each site so your team is notified immediately when something goes wrong.

7. Build & Schedule Custom Workflows

Set up your custom workflows. These are typically used for:

• Opening/closing checks

• Cleaning schedules

• Maintenance logs

• Audits and brand standards

Set these to run one-off, recurring, or ad-hoc, and assign them to the correct sites and users.

8. Schedule HACCP Workflows (If Applicable)

Schedule your HACCP Workflows, if you do not wish to run adhoc HACCP checks.

9. Review Your Setup

Before going live:

• Check sensors are online

• Confirm alerts are assigned

• Verify workflows appear correctly on mobile

• Run a test workflow and review reporting

This ensures a smooth launch for your team.

10. You’re Ready to Go

Your Telsen platform is now fully configured and ready for use.
Teams can begin completing checks, responding to alerts, and maintaining compliance right away.
